Health and Safety Policy

1. Purpose
This Health and Safety Policy sets out our commitment to providing a safe and healthy working environment for all employees, contractors, and stakeholders. Although our team works remotely and we meet clients primarily online, we recognise our responsibility to ensure health, safety, and wellbeing wherever and however we conduct business.
2. Scope
This policy applies to:
- All employees, contractors, and representatives working from home or remotely.
- Company activities involving client interaction online.
- In-person meetings with clients or stakeholders in public venues (e.g. art fairs, galleries, conferences, cafés, etc).
3. Our Commitment
Complying with the Health and Safety at Work Act 1974 and all other applicable UK legislation.
Taking reasonable steps to identify and mitigate risks to health and safety in remote and public work settings.
Promoting a positive culture of safety, wellbeing, and respect.
Providing guidance and resources to support safe working practices.
4. Health and Safety in practise
4.1 Remote Working
- Team members are responsible for setting up a safe and ergonomically appropriate home working environment.
- Reasonable adjustments (such as specialist equipment or software) will be provided where necessary.
- Breaks should be taken regularly to prevent fatigue, eye strain, or musculoskeletal issues.
4.2 Online Meetings
- Respectful and professional conduct is expected in all online interactions.
- Data security and confidentiality must be maintained when sharing screens, files, or sensitive information.
4.3 Client Meetings in Public Spaces
- Meetings with clients will only take place in appropriate public venues (e.g. art fairs, galleries, conference centres or cafés).
- Team members should take sensible precautions regarding personal safety and belongings.
- No meetings will be conducted in private homes.
- Travel arrangements should consider personal safety, accessibility, and wellbeing.
5. Responsibilities
5.1 Leadership / Management:
- Ensure that health and safety policies are communicated and reviewed.
- Provide appropriate resources for safe remote working.
- Assess risks associated with business activities and implement mitigating actions.
5.2 Employees and Contractors:
- Take reasonable care for their own health and safety while working remotely or meeting clients.
- Follow company guidance and raise concerns if they identify risks.
- Report any work-related incidents, injuries, or hazards promptly.
6. Incident Reporting
Any health or safety-related incidents must be reported immediately to the designated contact (manager or company lead). Reports will be reviewed, and corrective action taken where necessary. Records will be maintained in line with legal requirements.
7. Wellbeing
We recognise that health includes mental as well as physical wellbeing. We encourage open communication about workload, stress, or wellbeing concerns. Support, adjustments, and signposting to resources will be provided where appropriate.
8. Review
This policy will be reviewed annually or sooner if significant changes occur in our working practices, legislation, or identified risks.
